Enrollment for Youth Members

There are four things that need to happen to join or return to 4-H, and don’t worry, most of them take just a few minutes.

** Important** Parents should also make sure they join East Hills’ brand new Groups.io discussion group which is where we maintain our calendar and communicate via email (go to https://groups.io/g/EastHills4H, click “Apply for Membership”, and you’ll be approved ASAP).

Short version of how to enroll youth members:

  1. Enroll or re-enroll at https://4h.zsuite.org/
  2. Pay 4-H fees online here: Alameda County Online Credit Card payment link
    • Youth will pay 100$, volunteers pay 30$.
    • On request, East Hills will reimburse youth members 35$ so they are only paying 65$ to join our club (we fund-raise to make up the difference). State 4-H is now requiring the online payment so this is our workaround.
    • If you need a fee waiver, download a copy here and submit it under “Payment Option #2” on the fee payment page here. No one is turned down.
  3. Submit a signed Member Agreement for your family here: Online Member Agreement
  4. Select projects for youth member
    • Project list is here: EH 2024-25 Project List
    • You can select projects in two ways:
      • either fill out the project request form here: https://form.jotform.com/242475942854164
      • Or you can email Kris by September 11th with your child’s list of desired projects, from 1st choice to last. Please include their name and age.
    • picking projects in ZSuite does NOT enroll you in the project, you have to send them to Kris.
    • Kris will email you around September 14th with your projects and all the information you need for attending meetings. Projects are still open after this date, but some projects might be full after the first go-round.

Detailed instructions for enrolling new youth members

1. Enroll or re-enroll at the new ZSuite site

  • Go to https://4h.zsuite.org
  • Click Sign Up
  • Create a Household (for example, the parent or guardian will make one household account for all 4-H youth members in that family).
  • Click + Household Member to add individuals to the household and then be able to enroll them in 4-H.
  • Complete the 4-H enrollment form, including unit (East Hills), project, and waivers (liability for example).
    • Please note that East Hills does NOT use the ZSuite project signups for our process but it is a very good idea to select the member’s desired projects for record book and county fair reasons. We can change them later, so it doesn’t need to be exact.
    • All of our projects are on ZSuite as of 25Aug2024, but we have to use the 4-H category instead of our cool names
  • Click Submit
  • Once done, you should receive an email stating the youth member’s enrollment has been submitted but not yet approved. Approval happens after fees are paid (or a fee waiver sent to Kris) and the member agreement is signed.
  • Only youth need to enroll unless the adult is going to be a certified volunteer.

2, Pay annual dues

  • Pay 4-H fees online here: Alameda County Online Credit Card payment link

  • Email Kris with your reimbursement request, and she’ll either mail you a check or give you cash at a meeting. We will only reimburse members once they’ve enrolled and paid online (there might be a delay until we are able to check).
  • We never turn anyone away for inability to pay, download the fee waiver here and submit it under “Payment Option #2” on the fee payment page here.

3. Submit a signed Member Agreement for your family.

  • To make enrollment as easy as possible, we are now using an online Member Agreement. Signing this means you have read our Operating Rules as well as our Code of Conduct. Click here for the online form

4. Select projects

  • Look through the project descriptions and details to decide on your member’s projects. They are here: East Hills 2024-25 Projects but you can also get a copy of the PDF on our Groups.io homepage or directly from Kris.
  • Once you have some projects, the next step is to rank them from #1 to last choice, #1 being the project your child most wants. We do this to give each member the best chance of having their most desired project since some projects will have limited space. In general, most members get almost all of their desired projects but we always have a few popular ones!
  • You can let Kris know their desired projects in two ways:

Detailed instructions for enrolling returning youth members

  • If you forgot your password, click “Forgot Password” and complete process to set a new password.
  • Click Enroll Member/Volunteer Now for applicable member.
  • Complete the 4-H enrollment form, including unit (East Hills), project, and waivers (liability for example).
    • Please note that East Hills does NOT use the ZSuite project signups for our project signup process, but it is a good idea to select them in ZSuite for record book/county fair requirements.
  • Click Submit
