May 7th Officers’ Meeting Agenda

Active Business

  1. Report on International Field Day for club?
  2. Field Trip planning – should we postpone this for the fall?
  3. May 13th Club Meeting potluck and party – Yasmin and Kris decided to make the last meeting a potluck with pizza supplied by the club (I assume we don’t get tired of pizza, do we?). I haven’t announced it to the club yet, any changes or suggestions? This is what will get put on Meetup:

This will be our last meeting of the year, so let’s order some pizza (on the club) and do a potluck for drinks and snacks and desserts. Use the comments below to list anything you’d like to bring. Pizza will be from Slice House and will include a cheese and pepperoni pizza, a vegetarian pizza, and maybe a third one. Any suggestions?

Informational (to be announced at meeting)

  1. Committee for Castro Valley Library Display meeting after club meeting (short). Kris will rework the graphics from last year a bit (can bring to the committee meeting), but we need to contact the librarian at the library to arrange a day (July 1st is a Monday, we usually put the display up at the library on the first day of the month before they open) and make sure we have enough items to show off along with the graphics.
  2. Alameda County Fair – there is a post on the website (http://www.easthills4h.org/2024/04/24/entering-exhibits-into-the-alameda-county-fair/) explaining entering the fair (email sent to parents). Important deadlines to remember:
May 15th is the deadline to register online for almost all still entries.

May 17th – deadline to upload virtual entries (photos, etc.).
May 23-25th – dates to bring physical entries to the fair.

  • One last important detail: you must be enrolled in a project that relates to your entry in some way (they do check this). Your parent can check on ZSuite to make sure your projects are listed under your name, or you can email Kris or Noelle to doublecheck for you before you register and enter.
  • Cake Booth signups! We are assigned for 06/19/2024 (Wed.) from 11:30am – 10:30pm. We will have three shifts (11:30am – 3 pm, 3 pm- 6:45 pm, and 6:45 pm – 10:30 pm). These will be put up on Meetup and members can signup there (Kris will send an email soon). We need two adults and 2-4 members, with at least one member over 12 yo to run the cash register.
  • Recruiting more officers:
-Kris has sent out a short blurb already announcing today’s meeting, but will write up a post for the website and send another email.
    – Should also mention at the club meeting.
  • The Santa Clara County Fair is allowing Alameda County 4-H youth to exhibit. See https://thefair.org/guides-and-forms/ for the exhibit form. The dates for this fair is late July and early August, so you could get your entries back from the Alameda County Fair in time.

     Serving as an officer:
With our club being small, we haven’t needed elections in a few years, there are plenty of officer positions for everyone! Right now, the positions of President, Treasurer, Sergeant-at-Arms, and Recreation are open as well as Secretary and Club Historian. Our website contains descriptions of each position, but feel free to ask officers or Kris/Noelle for more details. 4-H officers truly do run our club and our meetings, make decisions, and power our club, it is authentic leadership and a valuable experience.
